Attending: Janet Chisman, Rhonda Gaylord, Mary Gilles(Co-Chair and Recorder), Daryl Herbison, Lauren McNiece, Jill Palmer, Barbara Paulson, Janina Pupeliene (guest), Marilyn Von Seggern(Co-Chair), Kay Vyhnanek, Sharon Walbridge (Recorder), John Webb, and Christy Zlatos.

Absent: Vicki Croft, Ingrid Mifflin, and Leslie Wykoff.

Check-in

Responses from the "stumbling blocks" survey (the lavender one) will be tallied by question number.

Sharon Walbridge noted that a TSD staff member had suggested that information sharing/ educational sessions be given for staff. This reinforces an idea that has been discussed by the Committee on several occasions.

Copies of the University of Arizona Library organization chart and some organizational structure information from the University of Saskatchewan were distributed. Attention was also called to the Crawford/Gorman book chapters distributed by Christy Zlatos.

It was reported that a committee to do a library use survey in the fall is being chaired by Bob Speth. He has requested copies of other library surveys.

Janet Chisman noted that she had heard that the University of California - Irvine Library was re-organizing along team lines. There seems to be more work than there are people to do it, and lots of time is spent in meetings.

Meeting minutes

Minutes of the June 12 meeting were approved as distributed.

Summary of the June 19 Planning Committee Meeting Minutes

Brainstorming:
Sheets from the previous discussion were posted and included the following in regard to the question "What do we think the library ought to be?":

  • Virtual and traditional
  • Tools/ power/ authority/ responsibility /do right/ trust
  • Federal Express model
  • Oriented to learner/ client
  • Modularized tutorials
  • Clarify the user base
  • Less intimidating environment
  • Universalize instruction
  • Use employee expertise
  • Better training/ continuing education/ retooling
  • Brown bag discussions to share expertise
  • Share beyond institution (land grant mission, new WSU initiatives re distance learning)
  • Diversify resource base
  • More consultation/ participation
  • Name and signage (new Holland especially)
  • Balance between information overload and need to know
  • Ability to change/ flexibility/ on our toes and in motion

Today's discussion:

  • Personalized service - every user has a librarian and can contact
  • Frequently asked questions (FAQ) on the Internet. Also learning modules
  • Maximize staff - everyone to be involved directly in public service/ contact - increase service contact
  • Shelve books in four hours, providing rapid access to materials in the library
  • More inter-relationships between technical and public services
  • Cooperation
  • Meinecki/Les Schwab/Bloomingdales customer models
  • Facilities/sign committee
  • Improved collections - more relevant to curriculum. Collection development head with responsibility and accountability. Spending accountability - resource allocation. Move from buying materials to "just in time" model.
  • Emulate small library service environment
  • Value added service
  • Make decisions based on service, user responsive and user friendly
  • Training - someone needs to responsible for it. Training re staff and users.
  • Stack rovers - staff, including shelvers, to be able to answer directional questions. Proactive and approachable. Wear a hat or something that says "ask me". This could be people intensive and the idea of using trained volunteers (from fraternities, sororities, living units, clubs, athletic teams, Friends of the Library) was suggested. A serious volunteer effort might require a coordinator for recruiting, scheduling, training, etc.
  • Positions for user education
  • Seamless dental service model - specialization. Need for dialog between librarians and staff regarding roles ...
  • Simplify user interfaces
  • Respond to patrons!
