Attending: Janet Chisman, Vicki Croft, Rhonda Gaylord, Mary Gilles (Co-Chair), Daryl Herbison, Lauren McNiece, Ingrid Mifflin, Jill Palmer, Barbara Paulson, Marilyn Von Seggern (Co-Chair), Kay Vyhnanek, Sharon Walbridge (Recorder), John Webb, Leslie Wykoff (via phone), and Christy Zlatos.

Check-in

John Webb related a recent incident where the grapevine and gossip can be very destructive. In the environment that the Planning Committee is trying to foster, trust and responsible communication are very important. In discussion it was noted that personnel changes need to be announced promptly so that rumors have no opportunity to form. Effective communication needs to be to be a major issue for implementation once the Planning Committee's work is concluded. Library employees may need ongoing training regarding differences in communication style so that we have a better chance of working well together.

Meeting minutes

Minutes of the October 30 meeting were approved as distributed.

Remaining Discussion Items

Issues that still need more attention include --

  • communication channels
  • decision-making
  • working group composition, expectations,
  • responsibilities and communication
  • principles and philosophies
  • John Webb's paper on faculty role

The Committee began planning for discussion of its work with the rest of the Libraries with the following results --

  • The purpose of the sessions is to gather input, not to provide answers.
  • The Committee's role is the big picture - we have not and should not deal with detail or with individual positions.

Materials to be sent by November 14 include the following:

  • Introduction
  • Values, mission and vision statements
  • Three organizational models
  • Working groups
  • Principles and philosophies

As many Planning Committee members as possible should attend the sessions. Three Committee members will officially represent the Committee at each session. Committee members will serve as moderator and a recorder from the Committee for each session.

There will be seven sessions held the week of November 18. Each session will be ninety minutes maximum. The schedule for meetings --

  • Monday, November 18 9:00 - 10:30 and 1:30 - 3:00
  • Tuesday, November 19 9:00 - 10:30 and 1:30 - 3:00
  • Wednesday, November 20 9:00 - 10:30 (WHETS) and 1:30 - 3:00
  • Thursday, November 21 9:00 - 10:30

Registration will be required so as to limit the group size to fifteen. Registration will be done through Kathy McGreevy.

Next meeting

The Committee will meet again next Wednesday, November 13 at 8:30 in the MASC Conference Room. The agenda will include continued discussion of organizational issues as well as discussion of the informational packets.
